**Essay ** If you run a business on WhatsApp, someone has probably told you to grab your username before it's taken. The advice is right, but it skips the part you actually need: what a username is, what changes when you have one, and what stubbornly stays the same. This piece covers all three, in plain terms, and ends with the one action worth taking today. ## What a username actually is A WhatsApp username is a handle someone can use to message you without either of you sharing a phone number. That is the entire idea. Instead of giving a customer your number, you give them a short name, and they type that name into WhatsApp to start a chat with you. Everything else people say about usernames is detail stacked on top of that one sentence. It is not a new account, not a second profile, and not a separate inbox. It is a second address for the same conversations you already have. Your chats, your groups, your history: all unchanged. The only new thing is that there is now a way for a stranger to reach you that does not involve a phone number at all. If you remember nothing else from this piece, remember the definition. A username is a handle you share so people can message you. It is a thing you hand out, like a business card. The next sections explain why that framing matters, because most of the confusion around usernames comes from assuming they work like something else. ## How to reserve yours, and the rules of the game Reserving a username is free and takes about two minutes. Open WhatsApp, go to Settings, then Account, then Username. Type in the name you want. If it is available, it is yours. Reservations opened globally on 29 June 2026, so this is still early: most ordinary business names are sitting unclaimed. The rules are simple. A username is 3 to 35 characters. It can contain lowercase letters, numbers, periods, and underscores, and it must include at least one letter. Usernames are not case-sensitive, so Maria's Bakery and marias.bakery are treated as the same name. And every username is globally unique across all of WhatsApp, which means there is exactly one marias.bakery in the world. Whoever claims it first keeps it. That last rule is the one with real consequences. Uniqueness is global and first-come. There is no verification step that checks whether you actually run the bakery. If a stranger in another country claims your business name first, your options afterward are limited to picking a variation. This is why the advice to move quickly is not hype; it is just how the system works. - Settings, then Account, then Username. Free, takes two minutes. - 3 to 35 characters: lowercase letters, numbers, periods, underscores, at least one letter. - Not case-sensitive, so capitalization is not a way to differentiate. - Globally unique and first-come: one claimant worldwide, no exceptions. ## There is no directory, and that changes everything Here is the part most people get wrong. There is no search inside WhatsApp for usernames. Nobody can browse a list of businesses, and nobody can type a partial name and see suggestions. The only way someone reaches you through your username is if you give them the exact handle, character for character. This makes a username a thing you share, not a way to be found. It will not bring you new customers. It will not make you discoverable. If you were hoping a username works like an Instagram handle that people can stumble across, it does not. WhatsApp made a deliberate choice here, and the choice is privacy: your handle is invisible unless you put it in someone's hands. Practically, that means the username's value is in places you already control. Print it on a receipt. Put it on your website's contact page. Say it on the phone. Anywhere a phone number felt clunky or too personal to share, a clean handle does the job. But the distribution is on you. If you reserve a name and never tell anyone, it does precisely nothing. ## The optional key: a second lock on the door Alongside the username there is an optional extra called a key. If you turn it on, a stranger needs two things to start a first chat with you: your username and your key, which is a short code you set. Someone who only has your username cannot open a conversation. Think of it as a knock code on the front door. The key does not apply to everyone, and this is where it gets useful rather than annoying. People who already have your phone number saved, people you have chatted with before, people who share a group with you, and people who scan your QR code all get through without needing the key. It only gates the strangers: someone who learned your handle from a flyer or a friend and wants to start fresh. For most small businesses, the honest answer is that the key is probably unnecessary. Your handle is not secret anyway; you are printing it on things. The key makes sense if you have a real problem with strangers mass-messaging you, which most businesses do not. Leave it off, revisit if spam becomes an issue, and do not spend more than five minutes thinking about it. ## On a business account, your number stays visible A common hope is that a username lets you hide your phone number from customers. On a business account, it does not. Your number remains visible in the chat the way it always has. The username is not a privacy shield; it is a cleaner front door. What the username does give you is a handle that is memorable, easy to say out loud, and hard to impersonate convincingly. A customer who hears marias.bakery once can type it correctly. A customer who mishears a phone number cannot. And because handles are globally unique, a competitor or scammer cannot also operate under your exact name; they would have to use an obvious variation, which is easier for customers to spot. So set expectations correctly. The username is about presentation and reachability, not concealment. If your goal was to keep the number private from customers, a username on a business account will not do that, and it is better to know now than after you have printed a hundred flyers. ## Why the rush is real for ordinary business names Meta pre-reserved usernames for famous names: celebrities, major brands, the kind of accounts that would be impersonated within minutes. That protection does not extend to the long tail, and your business is almost certainly in the long tail. Maria's Bakery in whatever city you are in is exactly the kind of name nobody at Meta protected. Because uniqueness is global, the risk is not a local competitor. It is anyone, anywhere, who happens to type your name before you do. They do not need your number, your registration documents, or any connection to you. They need to be faster. And since reservations opened in June 2026, the clock has been running for months. The practical move is to reserve your brand name and the obvious near-misses today. Your exact name. The version with a period instead of a space. The version with an underscore. If you operate under a slightly different name on Instagram or on your signage, grab that too. You cannot sell or transfer usernames, so extra reservations are just insurance, and free insurance on your own name is about as good as insurance gets. - Reserve your exact business name first. - Then the common variants: periods for spaces, underscores, shortened forms. - Match handles you already use elsewhere, if available. - Remember: no verification, no transfers, no recourse if someone else claims it first. ## What a username does not change about your day Worth saying plainly, because the hype gets ahead of reality: a username does not change how your WhatsApp works day to day. Same chats, same inbox, same green bubbles. A customer who messages your username lands in the same conversation list as one who messaged your number. There is no new dashboard, no new workflow, nothing to learn. It also does not solve the operational problems that come with growth. If your pain today is that three people answer the same number and step on each other, or that conversations arrive faster than you can answer them, a username changes none of that. It is a new address, not a new system. The work of answering customers is exactly as it was. That is not a knock on the feature. It does one thing well: it gives you a clean, shareable handle at a moment when the good ones are still available. Treat it as a ten-minute errand with a deadline, not a project. Do the errand, tell your customers the handle wherever you already tell them your number, and get back to work. ## When the handle starts earning its keep Once the name is reserved and shared, the interesting question becomes what happens to the conversations that arrive through it. A handle on a flyer tends to bring in first-time contacts: people who have never spoken to you, asking the same opening questions. Those chats are valuable, but they arrive unsorted, mixed in with your regulars. This is where teams eventually want structure: every conversation on a board with a clear objective, so a first-time question and a returning customer are handled differently instead of identically.
