Appointments

Book, reschedule, and remind without a phone call.

Appointment requests stall in a shared inbox. On a Smart Board they have stages, calendar rules, and an agent that takes each one from the first message to a confirmed slot.

The calendar rules live on the board.

Availability you actually have

Hours, notice periods, who may be booked, and which services take how long. The agent offers only slots that match those rules, and says so when none do.

Reschedule without starting over

A change of time is the same conversation, moved to the next column. The agent keeps the history, updates the slot, and does not ask the customer to repeat why they wrote.

Reminders in your voice

Confirmations and reminders are permitted actions on the board, in the tone you set, with a stop when the customer asks not to be pinged again.

Stand it up around the calendar you run.

  1. 01

    Write the booking rules once

Hours, buffers, who can be booked, and what the agent may never confirm alone. Those rules sit on the board, not in a prompt somebody edits every week.

  2. 02

Set the columns to the path a booking takes

New request, time proposed, confirmed, reminded. The last column is the objective — a kept appointment — and the agent works each conversation toward it.

  3. 03

Watch the first week, then let it run

Take over any conversation with the history in front of you. Tighten the rules, then leave the board on for the requests your team was answering by hand.

A few things you might be wondering.

Does this replace our booking tool?

No. It talks to customers on WhatsApp using the availability you already have. The calendar stays the record of what is booked; the board is where the conversation happens.

What if two people want the same slot?

The agent offers only slots that are still free under your rules. If a slot disappears mid-conversation, it says so and proposes the next one rather than double-booking.

Can a person take over a booking chat?

At any moment. Pause the agent on that conversation or on the whole board. The full thread stays with the card, so nobody asks the customer to start again.

Will it book outside our hours?

Not if you set the hours on the board. Guardrails cover notice periods, blocked days, and what the agent may never confirm without a person.

Does it work on our existing WhatsApp number?

Yes. Customers keep writing to the number they already use. The board is how your team sees those conversations and how the agent works them.
