Follow-ups

WhatsApp follow-ups that sound like you, at a human hour.

Most WhatsApp sales aren’t lost at the first reply. They’re lost after it: the message that waits overnight, the time a customer asked for, the quote nobody chased. A Calypso Agent keeps each conversation on its board moving, on the customer’s own topic, and stops when they reply.

A message that waited

  1. 11:46 PM · Customer

Good evening! Do you deliver on Saturdays?

  2. 11:48 PM · Board

Moved to Sales · the answer waits for 9:00 AM

  3. 9:00 AM · Calypso Agent

Good morning, thanks for waiting. Yes, we deliver on Saturdays from 10 to 2. Shall I book one for you?

Answers what waited, at a human hour.

A time they asked for

  1. 5:10 PM · Customer

Can you send me the quote for the 12-pack at 7:15? I’m out of my meeting by then.

  2. 5:10 PM · Calypso Agent

Of course, I’ll send it at 7:15 PM.

  3. 5:10 PM · Board

    Scheduled for 7:15 PM

  4. 7:15 PM · Calypso Agent

Here’s the quote for the 12-pack, as promised: $84 with Saturday delivery. Shall I reserve it?

Keeps the time they asked for.

A conversation that went quiet

  1. 10:02 AM · Customer

We ship about 3,000 orders a week. Can your courier handle that?

  2. 10:02 AM · Calypso Agent

Yes, up to 5,000 a week with same-day pickup. Shall I send the rates?

  3. 11:32 AM · Calypso Agent

About your 3,000 weekly orders: with same-day pickup they leave the day they come in. Want the rates for that volume?

  4. Next day · Customer

Got it, thanks. We’ll decide next week.

  5. Next day · Board

They replied, so the follow-ups end

Follows up on what they asked, and ends when they reply.

Example conversations. You choose the agent’s knowledge, its goal, and when it runs.

Three ways

Every conversation gets its next step.

Answers what waited

A customer wrote while the agent was off or the chat was still in New. When the conversation reaches a board with its agent on, the agent answers the message that waited. After hours, that answer goes out at 9:00.

Keeps the time they asked for

“Write me tomorrow at 9” or “send it at 7:15” becomes a scheduled message at that time, about what they asked. When the time is unclear, the agent asks instead of guessing, and “never mind” cancels it.

Follows up when it goes quiet

On a board with a goal, when a customer stops replying the agent follows up about the specific thing they asked, with a new angle each time and never the same sentence twice. Their reply ends the follow-ups.

The rhythm

Spaced like a person would.

The sequence after an answer that went unanswered. A step that would land between 21:00 and 09:00 moves to the next morning, and the last three only go out when the agent has something useful to add.

  1. 1

    About 1½ hours later

Their question, by name, and the next step it leads to.

  2. 2

About 7 hours later, or the next morning

Their use case, and anything still open.

  3. 3

    The next day, around 10:00

One useful thing for their case.

  4. 4

    The day after, around 11:00

Whether the timing is off, or something is missing.

  5. 5

    Two days later, around 10:30

An easy way back, without pressure. Then it stops.

Your rules

Limits you set, on every board.

  • Human hoursNo follow-up or delayed answer between 21:00 and 09:00 in your time zone. A customer who writes to a board with its agent on gets an answer right away, unless you turn on business hours for that board.
  • A monthly limitAt most three follow-up sequences per customer every 30 days.
  • Their reply ends itWhen the customer writes back, the follow-ups end and the agent answers what they said.
  • Take over anytimeA person who takes the conversation stops the agent’s follow-ups on it.
  • One switch per boardPause the board’s agent and nothing goes out from it until you switch it back on.
  • Hidden stays hiddenChats on the Hidden board never get a follow-up.

Your WhatsApp

On the WhatsApp you already have.

The follow-up goes out on the line the customer used, including customers who write from a WhatsApp username.
